WhatsApp automation: what to automate, the rules and how to set it up

WhatsApp automation means letting software send, answer or route WhatsApp messages when something happens: a customer writes, a lead clicks an ad, an appointment is booked or an order ships. Done well, it handles the repetitive part of every conversation and leaves your team the chats that need judgment. Done badly, it gets templates rejected, annoys customers and, with unofficial tools, puts the number itself at risk.

What WhatsApp automation is (and what it is not)

WhatsApp automation is any setup where software, not a person, decides and sends part of a WhatsApp exchange. It has three parts: a trigger (a new message, a button tap, a booked slot), logic that decides what should happen, and an action on WhatsApp or in another system. A greeting message is automation; so is an AI agent that reads a question, checks a calendar and books the slot.

It is not a way to message people who never asked to hear from you. Meta requires opt-in for business-initiated messages and approved templates for anything sent outside an active conversation. Bulk senders that ignore those rules are not automation you can build a business on; they are a fast way to lose the number.

What you can automate on WhatsApp

Almost any repetitive message can be automated, but not every one is sent the same way. The deciding question for each process is whether the customer wrote recently or the business starts the conversation: that determines whether a normal reply works or an approved template is required.

Interactive messages make these flows easier: Meta allows up to three reply buttons per message and list messages with up to ten rows, enough for “Confirm / Reschedule / Cancel” or a short menu of services. Complaints and refunds are worth automating only partly: let the automation collect the details and a person give the answer.

WhatsApp Business app vs WhatsApp Business Platform: what each can automate

The WhatsApp Business app is the phone app: a business profile, a catalog, labels and a few built-in automations. The WhatsApp Business Platform is Meta's API offering, used through the Cloud API, either directly by your developers or through a provider that connects your number.

The app's greeting and away messages are fixed texts, fine for a small team that answers every chat itself. Meta's business AI agent inside the app goes further and may be enough when customers' questions can be answered from your profile and catalog. The Cloud API makes sense when WhatsApp is one step in a larger process: a lead passed to a rep, an appointment written to a calendar, an order update drawn from store data, or customers who also write to you on Instagram, TikTok or your website. It doesn't have to replace the app: with coexistence, a number already on the WhatsApp Business app connects to the Cloud API and your team can keep replying from the phone.

Trigger, logic, action: how an automation works

On the Cloud API, every automation runs the same loop. Meta delivers each customer message to the connected software through a webhook; the software applies its logic and replies through the API, or acts in another system first. Events on your side, such as a new booking or a shipped order, can start the loop too, as long as the resulting message respects Meta's rules.

Rule-based flows design every path in advance, so they are predictable and easy to audit: a good fit for collecting an order number or confirming with a button. Their weakness is anything nobody anticipated; a customer who types a long question instead of tapping a button ends up back at the menu.

AI-driven automation uses large language models to interpret what the customer actually wrote, while instructions and connected tools limit what it may say and do. It copes with varied wording and several questions in one message, but it needs clear sources of truth, explicit handoff rules and regular review of real conversations. Combining both often works best: buttons and templates for the steps that must be exact, AI for the conversation around them. Whichever mix you choose, every automation has the same three parts:

  • Trigger: an inbound message, button tap, ad click, form, calendar event or order status.
  • Logic: fixed rules (tap “Prices”, get the price list) or an AI agent working within the instructions and data you approved.
  • Action: a reply, interactive message, template, booking, quote, CRM update or handoff to a person.

WhatsApp sales automation: qualify, follow up, hand off

WhatsApp sales automation keeps leads from cooling down. Leads arrive from Click-to-WhatsApp ads, WhatsApp buttons on your website or social profiles, or replies to campaign templates, and they often arrive exactly when your reps are busy or offline.

Build your ad-lead flow around cost. When a customer arrives from a Click-to-WhatsApp ad and the business replies within 24 hours, Meta opens a free entry point window of up to 7 days in which messages aren't charged. That first exchange is the cheapest place to qualify, answer and quote.

Give every follow-up sequence a stop rule: messages to people who do not answer produce blocks and reports, which hurt the number.   • Qualify: ask what a rep would ask first, such as need, quantity, location and timing.
  • Quote: pull products from the catalog, check inventory and prepare a quote or an order.
  • Follow up: nudge while the 24-hour window is open; after it closes, only opted-in contacts get a template.
  • Hand off: pass ready leads to a rep with the full history, so nobody repeats the same questions.

Appointment booking and WhatsApp reminders with Google Calendar

Booking repeats the same steps every time, which makes it a natural process to automate. With Google Calendar connected through OAuth, the automation reads real availability, offers open slots in a list message, creates the event when the customer picks one and confirms it while the conversation is still open.

Reminders usually go out after the 24-hour customer service window has closed, so they must be approved utility templates sent to customers who opted in. Add buttons such as Confirm and Reschedule: the customer's tap is a reply that opens a new 24-hour window, so the automation can confirm attendance or offer open slots for a new booking, while your staff move or cancel the original event in the calendar.

Plan for time zones, bookings made on behalf of someone else and slots canceled directly in the calendar. And keep the message count lean: the reminder template is charged per delivered message, and from October 1, 2026 the free-form confirmation sent inside the window is charged too.

Rules to automate WhatsApp without breaking Meta's policies

Opt-in comes first. Business-initiated messages, utility templates included, need the customer's permission to receive WhatsApp messages from you. Collect it at checkout, in booking or lead forms or in the chat itself, say what they will receive, and record when and where it was given. A phone number in your CRM is not an opt-in.

Templates are the only way to start or restart a conversation: pre-written messages with variables such as a name or a date, reviewed by Meta, in three categories (marketing, utility and authentication). Keep promotional wording out of utility templates.

The 24-hour customer service window opens whenever the customer writes. Inside it, the automation can send free-form replies, media and interactive messages; after it closes, only an approved template goes through and anything else is rejected by the API.

The free entry point window, which can stay open for up to 7 days, changes the cost, not the rules. It opens when a customer messages you from a Click-to-WhatsApp ad using the WhatsApp app on Android or iOS (not WhatsApp Web or desktop) and the business replies within 24 hours, and messages inside it aren't charged.

Why unofficial WhatsApp Web automation gets numbers banned

Some tools automate WhatsApp by connecting as WhatsApp Web: you scan a QR code and the tool drives that session as if it were a person at a computer. They skip templates, approval and Meta's pricing, and they break WhatsApp's terms, which puts the number at risk of being banned.

The problem is structural. WhatsApp Web is a linked device for a person using their own account, not a channel Meta offers for software. Nothing in these tools enforces opt-in or reviews messages, so it is easy to send exactly the unsolicited, automated messaging the terms prohibit, and customers' blocks and reports make it visible. What is at stake is the number printed on your ads and invoices; if it is banned, getting it back is not in your control.

The official route connects the number to the Cloud API, sends anything outside the window as an approved template and keeps the WhatsApp Business Account with the business. What WhatsApp automation costs: Meta pricing and the October 1, 2026 change

There are two costs: the software's plan (for SoyAgentia, see current plans) and Meta's message charges. Since July 1, 2025, Meta charges per delivered template message, by category and recipient country; the old per-conversation model no longer applies. Current rates are in Meta's pricing documentation.

From October 1, 2026, Meta also charges service messages, the free-form replies sent inside the 24-hour customer service window, at each market's utility rate, with no volume tiers, as well as utility templates sent inside an open window. Each business phone number gets 1,000 free service messages per month, which don't roll over; Meta charges from the 1,001st. For automation design, this matters more than any single rate: a flow that splits one answer into three messages will pay for three. Combine answers, drop filler such as “One moment, please” and let buttons replace extra text.

How to set up WhatsApp automation step by step, with a worked example

Worked example: the table after the steps follows a hypothetical physiotherapy clinic that runs Click-to-WhatsApp ads and keeps its schedule in Google Calendar. Templates are few and deliberate, the conversation around them is automated, and a person joins where judgment is needed.

Start with one or two processes and follow the same order whether you build on the Cloud API yourself or configure a no-code dashboard:

  • Pick processes with a clear start and end: FAQs with handoff, lead qualification, or booking and reminders.
  • Define what the automation may answer and do, where each answer comes from and when it must hand off.
  • Connect the number through Embedded Signup; if it runs on the WhatsApp Business app today, choose coexistence to keep using the app, or migrate it fully, which removes it from the app.
  • Submit the templates you will need outside the 24-hour window: reminders, order updates, follow-ups, campaigns.
  • Connect Google Calendar, your catalog or your inventory as the process requires, and set the handoff routing.

How to choose a WhatsApp business automation tool

Common mistakes when automating WhatsApp

Before launch, run real conversations from your chat history through the automation and fix every place where it would answer wrongly, break a Meta rule or keep a customer from reaching a person.

Automations often fail for reasons that have little to do with technology: skipped rules, the wrong conversations automated, or nobody reading the results. Watch for these mistakes:

  • Connecting through a QR-code tool and putting the number at risk.
  • Treating every saved phone number as opted in.
  • Follow-ups that assume the 24-hour window is still open and get rejected.
  • Automating complaints and refunds with no route to a person.
  • Letting AI answer without a source of truth for prices, stock or availability.
  • Putting promotional content into utility templates.
  • Sending several short messages where one would do, even though service messages are charged from October 1, 2026.
